As discussed with the purchasing discipline supervisors that were available, I have set up a preliminary timetable for this month’s meetings as follows: Piping Packages Tuesday 19/8/03 08.30 – 12.30 Meeting Room 9, 9th Floor Steelwork & Structural Packages Tuesday 19/8/03 14.00 – 17.00 Meeting Room 9, 9th Floor Equipment Packages Wednesday 20/8/03 08.30 – 13.00 Meeting Room SP6, Ground Floor Pipeline Packages Wednesday 20/8/03 14.30 – 17.00 Meeting Room SP6, Ground Floor Electrical & Instrumentation Pkgs Thursday 21/7/03 08.30 – 12.30 Meeting Room 9, 9th Floor We will be issuing the package forecast sheets plus details of cost phasing of each package prior to the meeting. Should the equipment detail spreadsheets not be available in time the previous month's mark-ups should be used as the basis for the forecast. The forecast and cost phasing sheets should then be the subject for the discussions during the meeting. Please verify the historical data prior to the meeting to ensure that the base data that we are forecasting from is correct. The purpose of the meetings is to capture details of any changes to existing orders, the establish the current MTO status for bulks, which should be in line with the ‘bulk Commodity Forecast Curves’ issued by engineering and adjusted for cost values, and to establish the cost forecast for each of the packages. It will also include a review of when cost milestones are to be achieved for the cost phasing exercise. We also require whatever cost details are known for orders still to be placed, bid values etc. should be addressed. Please come pepared with the updated forecast and phasing sheets containing the current cost information relating to your packages. The meetings have been arranged early to give as much notice as possible. It must be stessed that a much greater emphasis has to be placed on getting the VOWD cost phasing right, as we are still missing payment milestones forecast 1 month previously. This is a subject which is given a high priority by the PULT and we have to improve on our current poor performance in forecasting, before we are forced into some very time consuming exercises to correct the situation. Simon, could you please ensure that the relevant people in the engineering group are aware of the situation, and that they will be available to attend, where necessary. It is unlikely that anyone apart from purchasing discipline supervisors, and project engineers, will be required for more than 1 hour. Nick Moon, Martin Jones and I will attend from the Cost group. This is recognised as a major issue on the project and has high-level client attention. The following attachment, which shows the current status of overdue documentation in IPMS, was distributed to all attendees: <<030728 - Overdue Vendor Docs.xls>> The decision to make Lead Engineers accountable for the status of their discipline’s SDR dates was explained and it was agreed that an Excel file, listing all supplier documents in IPMS would be placed in Documentum where it can be accessed by all project personnel. A link to this file follows: LINK TO <<< Excel Supplier Document Register >>> Removed by NFP 29/07/03 The Excel file downloads “live” IPMS data each time it is opened (assuming the “refresh data” button is selected). It is then possible to produce a list of all documents for specific packages by simply filtering for the Award (PO) number of interest. All attendees were notified that a status summary will be issued fortnightly in a similar manner to the above summary showing how many PO’s and documents still require attention and to which facility / discipline they belong. As repeat orders are being placed and DMG chase for distribution matrices they are being told that the distribution is "same as the other orders". Although the POMT members stay the same for repeat orders the reviewers for the other disciplines has changed in some instances. If DMG use the same distribution lists for WA as they used for CA certain people will be receiving too many/not enough documents. Could you please use the appropriate matrix for repeat orders? Therefore if your AWW falls on 26 December you will need to take 3 days annual leave over the period that the office is closed. Contract Yellow AWW - Your AWW continues as normal. Friday 26 December would be a Public Holiday for which you would not normally be paid. You may accrue time as usual and take this day as a paid AWW day. Staff Blue AWW - Those on the blue AWW cycle or not in the scheme at all will take 4 days annual leave. Staff and Contract Blue AWW - the Blue AWW in January falls on 9 January 2004.
